Hosting an IB World Student Conference

A partnership

An IB World Student Conference is a partnership between a college or university and local IB World Schools. So it follows that the better the partnership, the better the conference.

During the planning of an IB World Student Conference, the roles are clear. The university’s role is to provide a conference facility and meeting rooms for a five-day conference. Expenses will not be recouped from conference fees.

Meanwhile, the IB World Schools’ role is to ensure that the IB philosophy, as reflected in the mission statement, learner profile and CAS principles, is the driving force of the conference programme.

Initially, a planning committee should be formed and a conference chairperson designated. This group should verify that the university has the necessary facilities to organize a successful conference (see below).

Once the conference has been organized, the partnership formed by the university and the IB World Schools is responsible for:

  • planning the conference and developing a detailed budget that falls within the allocation from the IB
  • creating a transparent financial accounting system to take the allocation from the IB, bank the money, and secure and pay all contracts
  • providing chaperones for the participants
  • providing discussion facilitators for the Global Action Teams
  • managing the five-day event


The role of the IB will be to:

  • provide consultation services (in person for at least one two- to three-day meeting) and through email and phone contact with the Student Conference Manager
  • provide marketing throughout the IB world via the Communications offices of all three regions
  • provide a central registration system.

 

For a successful conference, the university should have:

    • meeting space
      • All conference meeting space should be donated by the hosting university and be comfortable, with heating and air conditioning as needed.
      • Technology requirements include wireless internet in all areas, screens and projectors, laptops available to accommodate each breakout room, house sound, availability of video, Skype, large screen with projection in auditorium, and available technology support.
      • Break-out rooms to accommodate groups of 20–25 students with adjustable table and chair room set-up should be available.
    • transportation, including access to a major airport and bus transportation
    • the ability to accommodate attendees with disabilities
    • on-campus housing with the capacity to provide all conference participants with bedding and towels
    • enough food service to serve all attendees as well as speakers, guests and chaperones
    • access to catering
    • proximity to a hotel with a restaurant that is close enough for speakers, distinguished guests and adults not wishing to stay in dorms
    • easy, fast access to medical services
    • on-campus activities and recreation facilities for students, such as a recreation center, pool, campus center for video games, bowling, on-campus hiking trails
    • ability to provide campus gifts (such as t-shirts) for competition winners, gifts for speakers and guests, university logo backpacks for conference participants.
